Challenge
Bowel Cancer UK required a centrally managed email signature solution to replace manually maintained Outlook signatures. The organisation needed consistent branding across more than 120 users whilst supporting bespoke requirements including Microsoft Book with Me links, accreditation badges, committee roles and department-specific signature variants. The solution also needed to integrate seamlessly with Microsoft 365 and simplify the onboarding process for future employees.
Approach
I designed and implemented an Exclaimer Cloud solution integrated with Microsoft 365 and Microsoft Entra ID. The deployment included synchronising user information, configuring server-side email signature processing, creating multiple signature templates, implementing security groups to automatically assign different signature variants, and configuring Exchange Online custom attributes to support dynamic content such as Microsoft Book with Me links. I also developed an onboarding workflow allowing signature requirements to be captured during new starter requests and applied automatically.
Outcome
Successfully deployed a scalable email signature management solution that standardised branding across the organisation while reducing administrative overhead. The solution now provides centrally managed signatures, automated signature assignment, dynamic user attributes, and simplified administration for IT while supporting bespoke user requirements without manual changes to individual Outlook clients.
